Getting started
Setup takes about two minutes. You'll need an active Pipedrive account and an active FreshBooks account, with permission to authorize integrations in both.
1. Install and connect Pipedrive
Click Install on the Pipedrive Marketplace listing and authorize Pipedrive access. You'll be redirected back automatically, and your 14-day free trial starts here.
2. Connect FreshBooks
Open the add-on's Settings (Marketplace apps → Pipedrive × FreshBooks → Settings) and click Connect FreshBooks, then authorize your FreshBooks account. The connection uses OAuth only — the add-on never sees either account's password.
3. Sync your clients
Click Sync clients to match your Pipedrive organizations to FreshBooks clients by email. Any organization without a match can be linked — or a new FreshBooks client created — right from the invoice/estimate creation screen.
4. Sync items and taxes (optional)
Click Sync items and Sync taxes to pull in your FreshBooks catalog, then map Pipedrive products to FreshBooks items under Item mapping so line items carry the right pricing and descriptions.
5. Set your invoice defaults
Choose your default due days, whether to email invoices automatically on creation, and — if you want deals to advance when paid — which pipeline stage a deal should move to once its invoice is marked paid in FreshBooks.
6. Backfill existing invoices (optional)
If you already have FreshBooks invoices from before installing, click Import existing invoices to backfill and link them to their deals in one pass.
7. Bill straight from a deal
Open any deal and use the ⋯ menu → Create Invoice or Create Estimate to start billing directly from Pipedrive — prefilled with the deal's client, currency, and line items. Use Convert Estimate to turn an accepted estimate into an invoice without leaving Pipedrive.
Where to see what happened
The floating control panel (open it from the Apps Dock puzzle icon) holds your connections, sync status, client and item mappings, webhook health, and a full Activity log of everything the add-on has done and who triggered it. When a FreshBooks invoice is paid, the deal updates automatically and the change is recorded there.
